Crèche Terms & Conditions

BOOKINGS:

All bookings for Crèche places can be made up to 10 days in advance online via the club website or in person at the main club reception. Places will be allocated on a first-come, first-served basis. A waiting list is available should the Crèche be fully booked. Children must be booked into the correct age category. We accept children from 6 weeks old until they start their reception year at school. Please book early to avoid disappointment. Sessions may be cancelled if no bookings are made.

PAYMENT:

All payments must be made at the time of booking by credit or debit card. If payment is not made at the time of booking, your Crèche place may be cancelled without notice.

MEMBERSHIP:

Your child’s membership must be current at the time of booking and at the time of the session booked to attend the Crèche. Children’s bookings are not live if the linked adult membership is frozen.

CANCELLATIONS/REFUNDS:

All requests for cancellations or refunds must be made directly via email to the Crèche team at creche@colets.co.uk at least 24 hours before the booked session. We will respond within two working days. If you have not heard from us within this time frame, it is essential that you contact us again. Please note that refunds cannot be offered if your child is unwell or if the centre closes due to conditions beyond our control.

DROP-OFF & COLLECTION:

Please ensure your child is dropped off at the start time of their session and collected promptly at the end time. If you are running late, please contact the Crèche to inform them.

LATE FEES:

Late collection will incur a late fee of £10 for every 10 minutes (or part thereof) past the specified collection time.

SIGNING IN & OUT:

To meet OFSTED and Fire Safety regulations, children must be signed in and out of the Crèche by a responsible parent or guardian aged 14+. During registration, please inform the Crèche staff of your location on-site in case you need to be contacted. Parents using weekday single Crèche sessions must remain on-site at all times. For “Drop & Go” sessions, you may leave the premises. Please ensure your phone number is up-to-date on our system.

TOILET/POTTY TRAINING:

If your child is potty training while attending the Crèche, we will do our best to follow your routine as closely as possible. Please provide a potty and plenty of spare clothes.

If your child is still in nappies, please provide nappies, wipes, and nappy cream (if required) for the session.

BELONGINGS:

We discourage children from bringing toys from home. Electronic equipment and phones should not be brought to the Crèche. Colets cannot accept responsibility for lost or damaged belongings. We recommend labelling all clothing and belongings to help reunite lost items with their owners.

LUNCHES & SNACKS:

Please provide any food your child may need during their booked session. For the safety of children with allergies, all food must be completely nut-free. Please also provide a drinks bottle filled with fresh water.

If your child has any allergies, please speak to the Crèche staff to discuss how best to manage them during their session. You will be required to complete an allergy care form.

We are unable to warm up food or milk in the Crèche.

SICKNESS & MEDICATION:

We provide childcare for healthy children only. If your child becomes unwell while in our care, a parent will be contacted immediately to collect them in line with our sickness policy. This includes sickness and diarrhoea, which require a 48-hour exclusion period, and high temperatures, which require a 24-hour exclusion period after the last recorded high temperature (above 38.3°C).

Painkillers (e.g., paracetamol or ibuprofen) should not be administered within 8 hours prior to attending the Crèche.

We cannot administer any medication during Crèche sessions except emergency medication such as EpiPens and asthma inhalers.

NOTICE OF TERMINATION:

We reserve the right to terminate your child’s place at the Crèche immediately if a breach of these Terms & Conditions occurs or if it is deemed to be in the best interest of the centre or the welfare of other children.

NEW CHILD POLICY:

If your child has not attended the Crèche before, please book a settling session via email. We will need to see documentation that includes proof of address and your child’s date of birth.
